No. SmartBay organises delivery appointments and Goods In progress. It complements your existing warehouse and transport systems; it does not replace stock management, order processing or transport planning.

No. Suppliers and hauliers use the warehouse’s booking link and verify their business email to confirm a booking. They do not need a paid administrator account. Their booking history is limited to bookings they created and still have verified access to.

No. A verified user of an authorised customer domain can view that customer’s bookings through its private schedule. They cannot see another customer’s activity or the full warehouse diary. Customer schedule access is read-only.

Yes. Booking windows, date-specific exceptions, delivery-duration rules and compatible Handling Areas determine availability. The whole appointment must fit an available window and area. Durations can vary by pallet quantity and supported container or special load type.

Yes. Delivery paperwork can be required, optional or not shown. When required, external booking parties must upload at least one delivery-related document before confirming. Multiple documents are supported. Paperwork is available ahead of arrival and does not need approval before the reservation.

Yes. Authorised staff can create and manage bookings within their warehouse access. Availability is checked when bookings are created or rescheduled. Staff bookings and external reservations appear in the same warehouse diary.

30 days free. No payment details required. Continue for £79/month + VAT for your first warehouse and £39/month + VAT for each additional warehouse. If the trial ends without activation, the workspace becomes read-only and your setup and data are retained. An organisation administrator can contact SmartBay to arrange continuation.

Booking parties can manage their own reserved bookings while they retain verified access. Online editing, rescheduling and cancellation stop when warehouse processing begins. Warehouse staff then manage operational progress.

Each active Handling Area handles one vehicle at a time. Configure handling areas to match your operation. Booking parties choose an available appointment; SmartBay assigns a compatible area.

No. Arrived and Unloaded are core stages. Documents checked, Unloading and Vehicle left are optional. A booking is shown as Complete after the last enabled stage. The warehouse chooses the workflow that matches its operation.

Yes. Warehouses can accept deliveries for their own operation, for third-party customers, or both. Customer setup is optional. You can configure your first warehouse and start taking bookings before adding customers.
